Why a walkthrough beats a phone-only quote for most practices
A phone assessment works for small, simple spaces. Anything with multiple exam rooms, a dental operatory, or mixed space types benefits from a short in-person walkthrough — it lets the provider see the actual room mix and flag anything a phone conversation would miss.
What a provider is actually looking for
- Room count and type — exam rooms, procedure rooms, operatories, admin space, waiting area
- Flooring types throughout the facility
- Any areas with restricted access or special handling needs (records areas, equipment rooms)
- Current condition and any deferred-maintenance issues that affect the first clean
- Realistic timing — when the space is empty enough for a thorough clean without disrupting patient flow
What to prepare before the walkthrough
Have your current pain points ready to describe — what your existing cleaner (if any) misses, and any compliance requirements specific to your practice. If you have a written scope of work from a prior provider, share it; it gives the new provider a concrete baseline to quote against.
What happens after
A credible provider follows the walkthrough with a written quote: room-by-room scope, product list, frequency, and price — not a verbal estimate with the details to be worked out later.
