Know your room mix, not just your square footage
Medical office cleaning isn't priced off square footage alone. Exam rooms, dental operatories, and procedure rooms cost more to clean per square foot than a waiting room or admin office. Before requesting a quote, walk your space and count rooms by type — this is the single biggest input into an accurate number.
Define your scope before the walkthrough
Write down exactly what you need: which rooms, which tasks, which frequency, and any non-negotiables (a specific disinfectant, a specific dwell time, a supervisor sign-off requirement). This prevents a provider from quoting a stripped-down service and prevents you from accepting something that won't meet your compliance needs.
Get more than one quote
One quote gives you a number. A few quotes give you a market. The spread between the lowest and highest bids for identical clinical scope can be wide — the cheapest bids often mean underqualified staff or missing protocols, while the priciest isn't automatically the most rigorous.
Ask what's not included
Always ask providers what falls outside their standard quote — biohazard response beyond routine surfaces, after-hours premiums, or specialty flooring. This surfaces hidden costs before you sign, not after.
Ask for references from similar practices
A cleaner that excels at general offices may not be the right fit for a dental operatory. Ask specifically for references from practices similar to yours in size and type.
Negotiate strategically
